EXECUTIVE BOARD RECRUITMENT

GENERAL CRITERIA

  • Based in or around Geneva

  • Being enrolled in University

  • Attending board meetings every 2 weeks

  • Attending all GIMUN events

  • Being available during summer break

  • Being available during exam period

PRESIDENT

The President is responsible for the good functioning of the NGO as a whole, and its effective external representation towards partners and professional entities. They are also responsible for supervising the overall planning for the NGO during the year.

Key responsibilities
  • Represent the organization towards third parties (DFAE, IHEID, UNIGE, GSUN, JUNES, GISA, etc.)

  • Work closely with the Vice President to organize NGO events and recruit all project managers for NGO activities

  • Organize the General Assembly twice a year, communicate with the members of the NGO and recruit new members

  • Communicate with the Advisory Board

  • Coordinate Board meetings (calling them, setting an agenda, archive minutes, moderation)

  • Follow up on other Board members’ work and assist them with their task if needed

  • Report to the Executive Board on NGO projects

  • Report to the General Assembly on the work of the Executive Board

  • Attend board meetings (once every 2 weeks / twice a month)

  • Regularly communicate with other Board members outside of meetings

  • Be in contact with finance team and being up to date with NGOs spendings and budget

  • Introduce next President and the Board to the strategic partners

  • Fluency in either English or French, high proficiency in the other language

  • A passive knowledge of German would be a strong asset

  • Live in Geneva or surroundings (the President must attend all NGO events, board meetings, meetings with partners and coordinate with other departments of the NGO through regular meetings)

Vice-President

The Vice-President is in charge of the organization of all the projects of the NGO with the exception of the Annual Conference. For these events, the VP works closely with the Président.

Main Tasks/Projects:
  • Recruit the members of the Executive Departments with the assistance of the rest of the board; mainly the Event Director, Translation Director, Editor-in-Chief for the Blog, HR Director, Legal Director, and Head Delegates

  • Be responsible for the internal cohesion of the Executive Departments, its smooth and consistent workflow by organising social and cultural events for the members together with the Events Director, checking monthly reports of the department directors and meeting with them on a regular basis.

  • MUN Delegation: Follow up with the sessions and help the Head Delegates in everything they need assistance with. Select an International MUN Conference for the delegation to attend together with the Head Delegates.

  • Blog “UN, You Know?”: Follow up on the work of the blog and try to create synergies with the blog, the other GIMUN Projects and other associations. Recruit an Editor-in-Chief for the blog. 

  • Assure the organization of educative events on the United Nations together with the Events Director (e.g. Visits of interesting sessions at the United Nations, conferences, panel discussions). UN Day / International UN Day : select the topics for each panel, contact the Guest Speakers, recruit moderators, interpreters, revise the guides for each panel, etc.

  • Organization of a study trip for a prolonged weekend together with the Events Director. If possible, organise a study trip per semester.

  • Organization of a week-long event “International Geneva” at the end of June for international students to discover Geneva, the different NGOs and IOs and why Geneva is the capital of world diplomacy.

  • Support GIMUN’s image as an NGO, not only MUN Conference

  • Attend board meetings (once every 2 weeks / twice a month)

  • Participate in all GIMUN events and help other members when needed

Competences:
  • Fluency in either English or French, high proficiency in the other language

  • Being able to plan well in advance and keep track of the workflow of the different departments

  • Good team working skills and team management

  • Good communication skills

  • Good resistance to stress and pressure

  • Experience with GIMUN’s events is an advantage

  • Live in Geneva or its surroundings (The Vice President should attend all NGO events, board meetings and coordinate with other departments of the NGO through regular meetings)

SECRETARIES GENERAL

The two secretaries generals are responsible for the organization of our Annual Conference and recruit and oversee the entire staff of the Annual Conference

Key responsibilities
  • Organisation of the Annual Conference

  • Recruitment of the USGs and Committee Presidents

  • Instructing USGs on their responsibilities and define deadlines for them

  • Create a detailed schedule for the conference 

  • Supervise the recruitment process of participants, including delegates, press, ambassadors and volunteers

  • Work closely with PR Director to promote the Conference at University and at other Conferences

  • Facilitate communication among all Conference’s departments and coordinate their work

  • Keep track of departments’ progress and intervene when a problem occurs

  • Coordinate the work of all departments and ensure team cohesion, making sure that all team members can communicate directly

  • Control budget spending, prepare documentation for the Finance department

  • Contact Guest Speakers for the Conference

  • Support GIMUN’s image as an NGO, not only MUN Conference

  • Attend board meetings (once every 2 weeks / twice a month)

  • Participate in all GIMUN events and help other members when needed

 Competences:
  • Experience with GIMUN / other MUN conferences

  • Fluent in both official languages (English and French)

  • Preferably some chairing experience

  • Leadership skills

  • Fostering teamwork among the departments

  • Group spirit necessary to be part of the Executive Board

  • Establishing a system of hierarchy: SGs - USGs - Chairs - Delegates

  • Good communication skills

  • Good at multitasking; managing different departments and issues of academic as well as logistical nature   

  • Being able to plan well in advance

FINANCE DIRECTOR

The Finance director is responsible for fundraising and for the NGO accountancy.

 

Key responsibilities :
  • Fundraising

  • Establishing a coherent annual budget, with details on each event

  • Making sure the budget is being followed for each event

  • Maintaining the accounting records (cash flow statement, income statement, balance sheet)

  • Paying the NGO invoices

  • Giving a clear and transparent accountability during the General Assembly, to the financial reviewers and to the financial partners

 

Competences:
  • Fluent in both French and English (mostly written for the latter), German is an asset

  • Very good organizational skills and efficiency

  • Knowledge in accountancy is a strong asset (though it is possible to recruit someone who does not have any previous knowledge, but who has a strong interest and is very willing to learn)

  • Responsibility and resistance to pressure and stress

  • Live in Geneva or surroundings: the Finance Director must attend all NGO events and board meetings

PUBLIC RELATIONS DIRECTOR

The Public Relations Director is responsible for the online and offline presence of the NGO.

Key responsibilities as head of department :
  • Diffusing information to recruit participants for all GIMUN events around the year

  • Managing the GIMUN website (regular updating)

  • Managing all social networks (Facebook, Instagram, Twitter, YouTube, Snapchat)

  • Making flyers and posters for all GIMUN events

  • Managing all email addresses and contacts within GIMUN

  • Communication with partner conferences

  • Recruiting and managing the Public Relations Department, consisting of (but not limited to) : PR Vice-Director, creative director, photographer, video manager.

 

Competences:
  • Interest and commitment to GIMUN

  • Strong knowledge of GIMUN and all of GIMUN events

  • Strong interest and experience in advertising activities, social media and “branding”

  • Team leader (PR department) and team worker (Executive Board)

  • Strong organizational skills

  • Responsibility and resistance to pressure and stress

  • Fluency in both English and French: communication through all channels must be in English and French

  • Live in Geneva or surroundings: the Public Relations Director must attend all NGO events and board meetings.
